Designation Administration Head
Job Description

The goal is to ensure all support activities are carried on efficiently and effectively to allow the other operations to function properly:

  1. Facility Management
    • Maintaining the facility and supervising the day-to-day operations of the administrative department and staff members.
    • Overseeing the cleaning, landscaping and parking teams.
    • Instructing team members on the best practices to maintain the property.
    • Creating and maintaining budgets for maintenance, repairs and contracts.
  2. Security
    • Developing and implementing security policies, protocols and procedures.
    • Controlling budgets for security operations and monitor expenses.
    • Recruiting, training and supervising security officers and guards through agencies/ directly.
  3. Liaisoning
    • Maintains and develops relationships with units in government ministries, agencies and other partners and personnel with following up on official documents and requests, as well as scheduling and coordination of official meeting.
    • Maintain continuous contact and dialogue with Government Ministries and Departments concerned on Protocol matters and advice management accordingly. Draft correspondence as required.
    • Process and facilitate residency and work permits, as well as driver licenses for eligible employees.
    • Advice travellers on visa requirements. Prepare and raise required documentation to the relevant authority to obtain entry/exit visas and travel permits for employees or Global visitors.
  4. Compliances
    • Monitor control systems to deal with violations of legal rules and internal policies.
    • Perform periodic audits on admin. procedures and processes.
    • Ensure operations adhere to policies and regulations
  5. Others
    • Plan and coordinate administrative procedures and systems and devise ways to streamline processes
    • Developing, reviewing, and improving administrative systems, policies, and procedures.
    • Ensuring the office is stocked with necessary supplies and that all equipment is working and properly maintained.
    • Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
    • Working with the accounting and management teams to set budgets, monitor spending, and process payroll and other expenses.
    • Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions.
    • Manage schedules and deadlines
    • Overseeing special projects (Eg: Office Project) and tracking progress towards company goals.
Desired Profile
  • Any post graduate degree in business administration, management, or a related field.
  • Experience in a related field, such as management or financial reporting, preferred.
  • Exceptional leadership and time, task, and resource management skills.
  • Strong problem solving, critical thinking, coaching, interpersonal, and verbal and written communication skills.
  • Proficiency in MS Office.
  • Ability to plan for and keep track of multiple projects and deadlines.
  • Familiarity with budget planning and enforcement, human resources, and customer service procedures.
  • Willingness to continue building skills through educational opportunities.
