Job Description
  • Responsible for setting up new offices, renovations, shifting of premises - costs, budget, monitoring and managing them.
  • Lease & project management of new premises as per business requirements.
  • Repair & Maintenance of existing premises, furniture & equipment.
  • Ensure premises standards are met as per the Company benchmark.
  • Responsible for the Inventory of all company assets with appropriate insurance coverage and fixed assets management
  • Develop suppliers of stationary to ensure costs are minimized
  • Ensure follow of system for timely delivery to departments & branches.
  • Co-ordinate with marketing department at RO/HO to ensure standard design & quality is maintained with respective to branding, signages, stationery, other display material
  • Responsible for managing stationary costs, budget and allocations to users.
  • Responsible for obtaining & maintaining connections for telephones, internet, Data Cards and mobile connections.
  • Establish most cost effective schemes for Telecommunications requirements from time to-time
  • Organizing an effective courier system between all offices & branches.
  • Responsible for managing communications & courier costs, budget & allocations.
  • Manage all the courier facility internal or external.
  • Develop list of preferred vendors as per defined policy
  • Maintain professional relationship with all vendors, landlords, utility companies/organizations. etc
  • Responsible for all purchases (except computers & peripherals) in the region at the most cost effective as per defined policy
  • Ensure payments relating to purchases, premises rents, utility bills, etc are processed in a timely manner for all offices
  • Establish & manage relationship with vendors and ensure timely payment.
  • Ensure follow of procedure on requisition, approval & providing all transport & travel requirements.
  • Responsible for all security & protection from hazards for our offices & branches.
  • Ensure fire safety practices are in place as per the local law.
  • Responsible for security of Cash in transit, premises & assets of the organization
  • Ensure registration of Branches & Offices in the region under Shops & Establishment act and for Trade License as per the local law coordinate with HR to file Annual Returns.
  • Accountable for Audit compliance (Internal & External).
  • Establish & maintain relationship with police & government organizations in the areas of our office establishment.
  • Identify and appoint a Law firm/Advocate for our Judicial/Legal requirement.
  • Ensure Compliance with respective to signage, external display material is maintained in accordance to local laws and licenses
  • To ensure participation in activities and initiatives which will help the organization to be a Great Place to Work
  • To work with RO South and HO team for providing smooth administration services and logistics support
